FORTE ("we," "our," or "us") is committed to protecting your privacy. This Privacy Policy explains how we collect, use, disclose, and safeguard your information when you use our AI-powered recruitment platform ("the Platform").

By using the Platform, you agree to the collection and use of information in accordance with this Privacy Policy. If you do not agree with our policies and practices, please do not use the Platform.

We collect information that you voluntarily provide when using the Platform, including:

  • Candidate Information: Resumes, CVs, profile information, work history, skills, and qualifications
  • Payment Information: Billing details and payment method information (processed securely through third-party payment processors)
  • Communications: Messages, feedback, and support requests you send to us

2.2 Automatically Collected Information

When you access the Platform, we automatically collect certain information, including:

  • Usage Data: Pages viewed, features used, time spent on the Platform, and interaction patterns
  • Device Information: IP address, browser type, operating system, and device identifiers
  • Log Data: Access times, error logs, and system activity
  • Cookies and Tracking: We use cookies and similar technologies to enhance user experience and analyze Platform usage

2.3 Information from Third Parties

We may receive information from third-party services you connect to the Platform, such as authentication providers or integration partners, in accordance with their privacy policies and your authorization.

2.4 Google User Data

If you choose to connect your Google Calendar to the Platform, we will access and process certain information from your Google account strictly to provide scheduling services. This includes:

  • Calendar Access: We access your calendar events to identify "busy" slots and prevent scheduling conflicts.
  • Event Management: We create and update calendar events for interviews scheduled through the Platform.

Limited Use Disclosure: FORTE's use and transfer to any other app of information received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements.

We do not use Google User Data for any other purpose, including advertising or training generalized AI and/or ML models.

3. How We Use Your Information

We use the collected information for the following purposes:

3.1 Platform Services

  • Provide, operate, and maintain the Platform
  • Process and analyze candidate profiles using AI technology
  • Match candidates to job requirements and generate insights
  • Create job benchmarks and competency assessments
  • Manage your account and subscription
  • Process payments and billing

3.2 Communication

  • Send you service-related notifications and updates
  • Respond to your inquiries and support requests
  • Send administrative information about your account or subscription
  • Provide information about new features or services (with your consent)

3.3 Improvement and Analytics

  • Analyze usage patterns to improve Platform functionality
  • Develop new features and services
  • Train and improve our AI algorithms and models (excluding Google User Data)
  • Monitor and analyze trends and user behavior
  • Detect, prevent, and address technical issues

3.4 Legal and Security

  • Comply with legal obligations and enforce our Terms of Service
  • Protect against fraud, abuse, and security threats
  • Resolve disputes and enforce our agreements

4. AI and Data Processing

Our Platform uses artificial intelligence and machine learning to analyze candidate profiles and job requirements. This involves:

  • Processing resumes and profile information to extract relevant data
  • Analyzing skills, experience, and competencies
  • Generating match scores and recommendations
  • Creating insights about candidate potential and job fit

We use aggregated and anonymized data (excluding any data obtained through Google Workspace APIs) to train and improve our AI models. Individual candidate data is processed solely to provide services to the organization that submitted it and is not shared with other organizations without explicit consent.

Google User Data: Data retrieved from Google APIs is used exclusively for scheduling purposes and is NOT used to train generalized AI and/or ML models, shared with third parties for advertising, or used for any purpose other than facilitating your interview scheduling.

Our AI processing is designed to be fair and unbiased. However, you should exercise independent judgment in all hiring decisions and not rely solely on AI-generated recommendations.

5. How We Share Your Information

We do not sell your personal information. We may share your information in the following circumstances:

5.1 Within Your Organization

Information you submit is accessible to authorized users within your organization according to their assigned roles and permissions.

5.2 Service Providers

We share information with trusted third-party service providers who assist us in operating the Platform, including:

  • Cloud hosting and storage providers
  • Payment processors
  • Email service providers
  • Analytics providers
  • AI and machine learning service providers

These service providers are contractually obligated to protect your information and use it only for the purposes we specify.

5.3 Legal Requirements

We may disclose your information if required by law or in response to valid requests by public authorities, including to meet law enforcement or national security requirements.

5.4 Business Transfers

In the event of a merger, acquisition, or sale of assets, your information may be transferred to the acquiring entity. We will notify you of any such change and any choices you may have.

Candidate data submitted by organizations is retained according to the organization's data retention policies and applicable employment laws.

You can update or correct your account information at any time through your account settings.
